Job Purpose:

Providing administrative support to staff and assuming bookkeeping, reservation, and employee relations. These duties include but are not limited to: database system maintenance and training, office supply purchasing, typing, filing, receptionand telephone duties.

Responsibilities

  • Assist staff with general administrative duties as requested, including filing, sorting mail, printing labels, etc.
  • Cooperate in the maintenance and/or modification of data collection system.
  • Maintain accurate daily accounting of fees, donations and other revenue.
  • Enter and manage Accounts Receivables and Accounts Payable in a timely and accurate manner.
  • Process, mail and track invoices and payments.
  • Record and deliver deposits.
  • Assist with completion of necessary statistical reports as requested.
  • Develop and maintain administrative system.
  • Relay information on employee relations matters to the Human Resources Department as needed.
  • Assisting the Administrative Manager in the creation of SRO’s and the development of quotes.
  • Distribute incoming mail and prepare outgoing mail including bulk mail.
  • Order office supplies and monitor inventory.
  • Update and maintain mailing lists.
  • Produce mailing labels and reports as requested.
  • Facilitate special event registration and execution.
  • Assist with various program operations as requested as responsibilities permit. 

Qualifications

Required:

  • High School diploma or GED.
  • College degree preferred.
  • Proficient on computers, including Microsoft Office (Word, Excel, Outlook).
  • Must possess a current and valid driver’s license, and be able to maintain a good driving record.
  • Must be able to crawl, climb, stand and lift up to 75 lbs. with or without reasonable accommodations.
  • Must be able to pass a fit for duty exam.
  • Must be available for regular overnight domestic travel and occasional international travel.
  • Must be willing to work flexible hours and overtime, and occasional weekends, holidays and nights
  • Ability to follow oral and written directions.
  • Must have good understanding of National Electrical Codes.
  • Must consistently meet performance expectations.
  • Works on special projects as required.
  • Attends job related safety and development training as required.
  • Must demonstrate knowledge and execution of safe work practices.
  • Assist in the training and development of subordinates.
  • Duties are performed in a general office environment.
  • Work is sedentary in nature but may require standing and walking up to 10% of the time.
  • The working environment is climate controlled with minimal safety/health hazard potential.

Preferred:

  • Considerable knowledge of power plants and power substations, natural gas mechanics, electrical systems, powergeneration, power transmission and power distribution.
  • Thorough knowledge of proper safety procedures and best practices as well as local, state and federal safety regulations.
  • Ability to learn to read and interpret electrical diagrams and prints.
  • Ability to learn to read and interpret a variety of power generation and distribution metering and recording devices.
  • Ability to learn the practices and procedures of the industry.
  • Supplemental courses in electrical maintenance preferred.
